    What is a welcome coffee?

    A welcome coffee is a short catering pause — typically 15 to 30 minutes — served at the start of an event. The goal isn't to feed, it's to receive. It includes coffee, tea, juices and a small selection of pastries, usually served standing.

    It's different from a coffee break (which sits mid-event to recharge attention) and from a brunch (which replaces a meal). Mixing them up is one of the most common mistakes we see from companies organising events for the first time.

    When does a welcome coffee make sense?

    • Internal kick-offs and presentations with a punctual start.
    • Morning conferences and seminars (8:30–9:30) with staggered arrivals.
    • Product launches with press and partners.
    • External client meetings where first impressions matter.
    • Thesis defences and academic ceremonies before the formal session.

    For events longer than 4 hours, we always recommend adding a mid-event coffee break. A welcome coffee alone isn't enough for a long agenda.

    The menu is deliberately simple and elegant. Our rule of thumb: 1 to 2 sweet items + hot and cold drinks per person. It's not meant to fill anyone up.

    Our welcome coffees start at €7/person, with a 15-person minimum. Final price depends on menu, delivery location and guest count. On average:

    • Essential welcome coffee (coffee, tea, juice, pastéis de nata): €7–9/pax.
    • Premium welcome coffee (assorted mini-pastries and fruit): €10–13/pax.
    • Welcome coffee + detox juice station: €12–15/pax.

    Always includes quality disposables or china (depending on package), on-site setup, a dedicated server during the service and full clean-up.

    Ideal duration

    15 to 20 minutes before the official start time is the sweet spot. Enough for latecomers to arrive stress-free and for guests to greet each other before the session. Longer than 30 minutes risks throwing the agenda off.
